Overview

Bus Route Messaging allows transportation staff to communicate with families by:

  • Individual bus route
  • Multiple routes
  • All transportation routes district-wide

Bus Messaging Setup

To enable bus messaging, the district must send ReachMyTeach a bus data file either nightly or periodically as needed.

At minimum, the file must include:

  • Student number
  • Bus name or route label

When bus data is imported:

  • A school named Transportation is automatically created (if needed)
  • Bus routes are created as groups/classes under Transportation
  • Students are assigned to the appropriate routes

If your district needs help with file formatting, mappings, imports, or secure transfer setup, contact ReachMyTeach for implementation guidance.

Staff Access Setup

Transportation staff must be added to the Transportation school in order to message bus-route families.

Examples:

  • Transportation directors
  • Dispatch staff
  • Bus communication coordinators

How to Add Staff to Transportation

  1. Go to Contacts / Staff
  2. Open the staff member
  3. Select Edit
  4. Under School Enrollment, add the user to Transportation
  5. Save changes

Sending Messages by Route

After the next transportation data import completes, staff assigned to the Transportation school can send messages to:

  • Individual routes
  • Multiple routes
  • All transportation routes

Examples:

  • Bus 100 only
  • Bus 45 and Bus 52
  • All transportation families

Sending a Message

  1. Open Messaging
  2. Select the Transportation school
  3. Choose the desired route(s)
  4. Optionally filter by school
  5. Compose and send the message

Narrowing Recipients by School

Transportation messages can also be filtered by school.

Example:

  • Select Bus 100
  • Then select School A only

This allows targeted communication such as:

  • “Bus 100 families for School A only”

Common Use Cases

Transportation staff commonly use route messaging for:

  • Bus delays
  • Driver shortages
  • Route substitutions
  • Weather-related transportation updates
  • Emergency transportation communication
