Manage Staff Permissions

Administrators can update an educator’s permissions based on their role. Permissions control:

  • Which schools, classes, grades, students, and families they can access
  • Which ReachMyTeach features they can use
  • Whether they receive messages by email, text, or phone
  • Whether they can view communications throughout a school

Important: Only users with A+ access can grant or remove Admin permissions or assign access to additional schools.

How to Update Staff Permissions

  • Open the Student ID Card.
  • Select Teacher Contacts.

  • Search for the educator.
  • Click the pen and paper icon beside their name.

  • Select the appropriate permissions.
  • Click Save.

Contact and Notification Settings

These settings control how the educator receives messages from ReachMyTeach.

SettingWhat It Does
Receives all messages by emailSends the educator’s ReachMyTeach messages to their email inbox.
Receives textsSends eligible ReachMyTeach messages to the educator by text.
Receives broadcast phone callsAllows the educator to receive broadcast calls sent by the school or district.
Reply Email NameDetermines the first portion of the educator’s ReachMyTeach reply-to email address. ReachMyTeach creates this automatically from the SIS import, but an administrator can change it if the generated name is unclear or incorrect.

Administrators can update these settings on an educator’s behalf.

Important: We do not recommend removing or replacing a staff member’s phone number unless necessary. Staff phone numbers are not shared with families, but having the correct number is important when the school or district sends an emergency or staff broadcast.

Access Levels

Admin

Admin gives an educator administrative visibility throughout their assigned school or district.

An Admin can:

  • View communications throughout the assigned school or district
  • Use the administrative dashboard
  • Search for staff members and students to review their communications
  • Access tools intended for authorized school administrators

Because Admin access includes visibility into communications protected by FERPA, it should only be assigned to staff members who need this level of access.

Only an A+ administrator can grant or remove Admin access.

Admin Assistant

Admin Assistant gives front office and administrative staff access to the tools they commonly need without allowing them to view all communications throughout the building.

Admin Assistant includes:

  • Show All Classes
  • Show Grade Groups
  • Attendance Access
  • Attendance Emails
  • Dismissal Tracker
  • Broadcasting
  • PTC Admin
  • Document Delivery Access

Family Chat: Admin Assistant is the only permission that allows front office staff to see Family Chat. If a front office staff member needs to help monitor or support Family Chat, they must have Admin Assistant enabled.

Admin Assistant does not provide the communication oversight available through Admin access.

District Access

District Access gives the educator access across the district rather than limiting them to one school.

This is useful for staff members who work with students in multiple buildings but may not be connected to each school through the SIS, such as:

  • Multilingual learner directors
  • Social workers
  • Speech-language pathologists
  • District counselors
  • District administrators

Enable any additional permissions the educator needs, such as Show All Classes, Show Grade Groups, or Lexikeet Access.

External Staff

External Staff is for someone who needs to receive school or district communications but should not communicate directly with students, families, or staff through ReachMyTeach.

These recipients are often not included in the SIS. Examples include:

  • Bus drivers
  • Crossing guards
  • Fire station personnel
  • Other community partners who need school closure or emergency announcements

Student and Family Access

Show All Classes

Provides access to every class at the educator’s assigned school.

If the educator has District Access, Show All Classes provides access to classes throughout the district.

This is useful for staff members who support students across multiple classrooms, such as librarians, instructional coaches, or front office staff.

Show Grade Groups

Allows the educator to find and communicate with students and families by grade level.

For educators with District Access, this applies to grades across the district.

Manage School Enrollment

Manage School Enrollment allows an A+ administrator to give an educator access to selected additional schools without changing the educator’s SIS assignment.

The educator receives the same permissions at the newly assigned schools that they have at their current school.

Example: A high school counselor needs to communicate with incoming ninth-grade students while they are still enrolled at the middle school. An A+ administrator can add the middle school to the counselor’s access without changing the counselor’s SIS record.

This changes communication access only. It does not change the educator’s official enrollment or employment information in the SIS.

Feature Permissions

Some options only appear or work when the corresponding feature is enabled for your school or district.

Attendance Access

Allows the educator to view attendance information and reports for their assigned schools.

Attendance Emails

Allows the educator to receive:

  • Messages families send to the school’s attendance email address
  • An email at the end of the day containing the attendance report

Use this permission for staff members responsible for reviewing absence information or responding to family attendance messages.

Dismissal Tracker

Shows the educator the Dismissal Tracker for their assigned schools and allows them to edit student dismissal plans.

This permission does not give the educator access to schools they are not assigned to.

Allow Broadcasting

Allows the educator to send broadcast messages to large groups.

Enable this for staff members responsible for schoolwide or districtwide announcements, newsletters, closures, or emergency communications.

Allows the educator to schedule an interpreter or place an on-demand interpreted call through Lexikeet.

This requires an active pay-as-you-go interpreter services contract.

Common Permission Scenarios

A Principal Needs Building-Wide Oversight

Enable:

  • Admin
  • Show All Classes
  • Show Grade Groups
  • Allow Broadcasting, if the principal sends schoolwide announcements
  • Any additional feature permissions the principal needs

Admin is appropriate because the principal needs to review communications throughout the building and use the administrative dashboard.

A Front Office Staff Member Needs Daily Administrative Tools

Enable:

  • Admin Assistant

Admin Assistant automatically provides Show All Classes, Show Grade Groups, and access to common front office tools, including attendance, broadcasting, Dismissal Tracker, conferences, and Document Delivery.

It is also required if the staff member needs to see Family Chat.

Do not provide Admin access unless the person also needs to review communications throughout the building.

An Attendance Secretary Needs Attendance Messages and Reports

Enable:

  • Attendance Access
  • Attendance Emails
  • Show All Classes
  • Show Grade Groups

If the attendance secretary also needs front office access to Family Chat, enable Admin Assistant instead.

A Librarian or Instructional Coach Needs Schoolwide Access

Enable:

  • Show All Classes
  • Show Grade Groups

Admin access is not necessary unless the staff member also needs to review other educators’ communications.

A District Specialist Works Across Multiple Schools

Enable:

  • District Access (or manage enrollment to just a few schools)
  • Show All Classes
  • Show Grade Groups
  • Any additional feature permissions needed for the role

For example, a multilingual learner director may also need Lexikeet Access or PTC Admin.

A Counselor Needs to Contact Incoming Students at Another School

An A+ administrator can use Manage School Enrollment to add the other school.

The counselor will receive the same permissions at the additional school without being reassigned in the SIS.

A Bus Driver Needs School Closure Notifications

Enable:

  • External Staff
  • The appropriate email, text, and broadcast phone call settings

This allows the bus driver to receive communications without giving them the ability to communicate with students, families, or staff through ReachMyTeach.

Educators can also manage some of their own settings, including email integration preferences, out-of-office notifications, and messaging access.
